Event terms: registration, badges, and age limits

According to Oracle rules and regulations, attendees must register for Oracle CloudWorld themselves using their own Oracle Account single sign-on (SSO) login, created with a current business email. If an attendee does not have an Oracle Account already created, they must create one at Oracle.com.

Attendees must use their own badge while onsite at the event. Badges are nontransferable and may not be shared onsite. Any person found to be in violation of this policy will have their badge confiscated by event personnel and will be asked to leave the conference.

No one under the age of 18 is permitted at any conference activity, keynote, or session unless as an approved student attendee type. Anyone under the age of 21 will not be able to attend The Party or the welcome reception, even if accompanied by an adult.

Public sector rate eligibility

Oracle’s definition of public sector extends beyond (but includes) traditional government agencies and ministries. The definition also includes state-owned entities, such as those in which a government has 30% or more ownership, voting control, and/or the ability to appoint officers or directors. For example, some airlines, financial institutions, telecommunications companies, utilities, energy exploration companies, hospitals, and other businesses may qualify.

Public sector attendees registering under the government rate will be required to show their employer-issued ID or other proof of government employment as well as a standard, government-issued photo ID (such as a drivers license or passport) during check-in at the CloudWorld registration desk at The Venetian Conference and Expo Center.

Oracle may, at its sole discretion, charge the full CloudWorld conference rate to anyone not satisfying these requirements or cancel ineligible registrations. Government discounts, with or without The Party, are only available to those who qualify. Public sector employees are not eligible to use a complimentary pass, group pass, or pass provided by another party to register for CloudWorld. If Oracle rescinds your registration and refunds your payment, Oracle is not liable for any incidental damages, such as flight, hotel, or other related expenses.

Group pass purchase program and guidelines

The Group pass purchase program begins on June 18 and allows a group to prepay for multiple registrations at once. Discounts are applied when five or more passes are purchased as a bulk purchase through the Group pass purchase program. There are no discounts offered for four or fewer passes. The full guidelines for the Group pass purchase program are below.

Qualified Purchases

  • Group passes are not cumulative across multiple orders; discounts are based on the quantity purchased in a single order.
  • Payment may only be made by credit card.
  • This offer cannot be combined with any other discounts.
  • The number of passes per order cannot be increased or decreased once the purchase is complete.

Restrictions

  • Group passes may not be provided or purchased for use by any employee or official of the public sector or government. Public sector attendees must use the public sector rate. Group passes purchased for public sector attendees will be revoked and are ineligible for a refund.
  • Oracle employees are not permitted to accept or use a purchased pass.
  • Registrants planning to speak at CloudWorld should not purchase or use a Group pass discount code to register; eligible and approved speakers will receive a complimentary pass.
  • The Group pass rate is only applicable if the minimum purchase is met.

Refunds or substitutions

  • NO refunds are allowed for any Group passes purchased.
  • Reassignment of passes must follow substitution guidelines and deadlines.
  • Unused passes will not be refunded.
  • Passes that have been revoked are not eligible for a refund.

Discounts and complimentary passes

All registration discounts and complimentary passes can only be used on new registrations and will not be applied to existing or completed registrations. Complimentary passes are not redeemable onsite. Public sector attendees are not eligible to use complimentary passes.

Payment methods

Payment can be provided at the time of registration. Accepted payment methods include

  • Credit card (American Express, Discover, MasterCard, or Visa)
  • Checks made payable to Oracle America, Inc.
  • Wire transfer

Checks and wire transfers must be received by August 26, 2024 to ensure a smooth check-in. Payment details can be requested by email. Please contact the registration team at cloudworld@regsvcoracle.com.

Wire transfer fees and international taxes

Wire transfer fees are the responsibility of the attendee. They are not deducted from registration fees and are not eligible for refund.

CloudWorld registration packages are not subject to US city, state, or federal taxes. If an attendee’s country of residence has additional taxes, those are the sole responsibility of the attendee and cannot be deducted from registration fees and are not eligible for refund.

Substitution policy

Substitutions can be requested by sending an email to the CloudWorld registration and housing team at cloudworld@regsvcoracle.com with the names of both the original and substitute registrants. You may not transfer your pass to a public sector employee or an Oracle employee. Requests for substitutions must be received no later than 5 p.m. PT on September 6, 2024, and are subject to CloudWorld registration and housing team approval.

All fees related to changing or canceling travel and hotel reservations are the exclusive responsibility of the registrant.

Registrations to invitation-only events such as the Executive Summit are non-transferable and not eligible for substitution.

Cancellation policy

All cancellation requests must be received via an email sent to the Oracle registration team at cloudworld@regsvcoracle.com.

  • Cancellations received before July 26, 2024, at 5:00 p.m. PT are eligible for a full refund (less a processing fee).
  • Cancellations received between July 26, 2024, at 5:01 p.m. and August 23, 2024, at 5:00 p.m. PT are eligible for at 50% refund.
  • Cancellations received after August 23, 2024, at 5:01 p.m. PT are not eligible for a refund.
  • If you must cancel due to extenuating circumstances beyond your control, please submit your refund request via email no later than September 20, 2024, 5:00 p.m. PT.

If you are travelling from another country and your visa application is denied, you still need to adhere to the cancellation policy deadlines listed above when requesting a refund. Eligible refunds will be processed for the US dollar amount of the registration fee payment at the time of the original transaction and will not include any other fees incurred such as wire transfer fees, international taxes, etc. Oracle is not responsible for fluctuations in currency exchange rates between the transaction date and the refund date.

Refunds do not apply under the following conditions:

  • Passes where no registration fee has been paid are not eligible for a refund.
  • Attendees who do not pick up their badge credentials onsite are not eligible for a refund.
  • Group passes are not eligible for a refund.

Cancellation of travel and hotel reservations is the exclusive responsibility of the registrant.

Cancellations initiated by Oracle

Oracle reserves the right to refuse registration or admission to anyone for any reason. If Oracle cancels an attendee’s registration prior to the event, Oracle will provide a full refund of the registration fee. If Oracle revokes a registration due to abuse or misconduct, the registration fee is not eligible for refund. If Oracle rescinds your registration and refunds your pass payment, under no circumstances will Oracle be liable for any incidental damages, such as flight, hotel, or other related expenses.

Travel expenses

If registrants require travel to attend CloudWorld, all reservations and expenses are the responsibility of the traveler. Oracle employees, contractors, and partners are not authorized to facilitate or pay for any travel expenses for event registrants and/or attendees unless specifically preapproved in writing under Oracle’s Non-Employee Travel process.

Visas and immigration

Customers, partners, contractors, media, and other non-employees: Oracle does not provide any documents or letters in connection with US visa or immigration matters. Our employees are strictly prohibited from issuing such documents. Non-employee conference attendees are advised to obtain US immigration guidance, documents, and support from their own employer.

Oracle employees: Refer to the information here for guidance. Be aware that Oracle does not issue employees personalized visa stamp application support letters. Employees are reminded that Oracle strictly prohibits issuance of letters or documents on behalf of others in the context of US visa or immigration matters.

Entry to the United States

Travelers are responsible to research, understand, and comply with any entry restrictions and/or health and quarantine requirements based upon their country of departure. It is the traveler’s responsibility to be aware of any entry or policy changes prior to traveling to the US.

Meal requests

Oracle provides meals that accommodate attendees with a variety of dietary requirements, including vegetarian, vegan, gluten-free, and dairy-free. While we attempt to accommodate additional special requests, we cannot guarantee the ability to fulfill every request. Special meals are available on a first-come, first-served basis, and quantities are limited. Special meal requests may not be available at all lunch locations. When attendees arrive at the lunch area, they must make their special meal request known to a server who will review the available meal options.

Reprints for lost badges

If an attendee loses a badge onsite, it can be reprinted, but the attendee may be subject to a processing fee of US$75. Replacements can be printed at the registration desk at The Venetian Conference and Expo Center. A government-issued photo ID such as a passport or driver’s license will be required.

Terms for use of attendee photos or likeness

By registering, attendees grant Oracle Corporation, its affiliates (“Oracle”), and its agents the right to take photographs or videos of them during CloudWorld activities.

Attendees grant Oracle and its agents, assignees, and transferees the worldwide right to use, copy, distribute, exhibit, broadcast, transmit, perform, publish, and display the photos/videos of attendees, with or without names and biographic material, in any media including in print and electronic. Oracle may use the photos/videos for any lawful purpose including, but not limited to, publicity, marketing, and advertising.

Attendees understand that Oracle may process personal information collected in connection with likeness, voice, or portrait or included in the materials, in accordance with the Oracle General Privacy Policy. Oracle is under no obligation to compensate attendees. Attendees agree that Oracle is the exclusive copyright owner of the photographs/videos. Attendees further understand that content posted to social networks will be subject to the social network’s applicable terms and privacy policy.

Photo and recording restrictions

The use of any device to capture images and sound, live stream, upload, or rebroadcast speakers or presentations is strictly prohibited at all official Oracle event meetings, sessions, and activities without express written consent from the CloudWorld team.

As a US-based event, CloudWorld abides by the Americans with Disabilities Act (ADA) which became law in 1990. The ADA is a civil rights law that prohibits discrimination against individuals with disabilities in all areas of public life, including jobs, schools, transportation, and all public and private places that are open to the public. The purpose of the law is to make sure that people with disabilities have the same rights and opportunities as everyone else. To arrange these services, a registrant’s information will be provided to third parties.

Oracle University training and certification benefit

The Oracle CloudWorld 2024 complimentary training and certification benefit includes access to a single Oracle Cloud Infrastructure Learning Subscription and a single Cloud Applications Learning Subscription, and up to three (3) Oracle Certification Program exam attempts. No purchase beyond the required, eligible CloudWorld pass is required to access this benefit. This promotion is open only to Oracle CloudWorld 2024 in-person general attendees and sponsors. This promotion is not available to attendees and sponsors registered as speakers, media, social influencers, analysts, Executive Summit, or digital pass attendees. Oracle will revoke learning content and certification exam access in the event that a participant cancels his or her CloudWorld registration.

This promotion is available from April 30, 2024, at 12 a.m GMT through November 11, 2024, at 11:59 p.m GMT and is subject to the following:

  1. Participants must acknowledge and accept, and fully comply with, additional Oracle Cloud and Oracle Certification Program terms and conditions located at oracle.com/contracts.
  2. Participants must register for the complimentary certification exams as part of this promotion by clicking the exam tile in the appropriate learning path in the Learning Subscription.

    a. Participants may choose three (3) certification exams from the list published on the Oracle University Training and Certification web page on the CloudWorld website.

    b. The offer is not available for any other Oracle Certification Program exam not included in the promotion.
  3. The complimentary promotional access does not apply retroactively to any certification exams purchased prior to April 30, 2024, 12:00 a.m. GMT.
  4. The first day to register for exams is April 30, 2024, at 12:00 a.m. GMT.
  5. The last day to register and take the exams is November 11, 2024, at 12:59 p.m GMT.
  6. Learning Subscription access is limited to twelve (12) months from activation, which must occur prior to the deadline to take the exams noted above.

If forfeited, the value of the complimentary promotional Oracle Cloud Infrastructure Learning Subscription, Cloud Applications Learning Subscription, and Oracle Certification Program exams cannot be redeemed for cash or any other Oracle product or service.

Health and safety protocols

Oracle cares about the health and safety of our customers, employees, and communities. Oracle follows local health mandates to ensure we can meet them in the safest way possible. As protocols and mandates may change at any time, we will do our best to communicate changes that impact our events.

On-site security

Oracle is deploying multiple layers of physical security to keep everyone safe at CloudWorld, and security screening will be in place at all the entrances to the event. Any issues or concerns that surface at CloudWorld can be reported to on-site security staff or the Oracle Global Physical Security Team at eventssecurity_gps_ww_grp@oracle.com. During the event, you’ll easily find security information in the Oracle Events mobile app or printed on the back of your badge.

To ensure all attendees have a safe and enjoyable event, bags, backpacks, purses, overcoats, and other items which may conceal prohibited items, may be subject to search by security personnel. Weapons and illegal non-prescription drugs of any kind are strictly prohibited on premises.

Items intentionally used to cause a distraction or disturbance to our speakers or attendees such as laser pointers, airhorns, megaphone/bullhorns, banners/signage or items with similar intent are prohibited.

Prohibited items discovered during security inspections must either be returned to the owner’s vehicle, hotel room, or discarded. Items will not be held for later pick-up.
